Admin Assistant
Venesky-Brown’s client, a public sector organisation in Glasgow, is currently looking to recruit an Admin Assistant for an initial 2 month contract with potential to extend on a rate of £13.81/hour PAYE. This role will be a hybrid of one day working at home and four days in the office. The working hours are 35 hours per week.
Responsibilities:
– To act as first point of contact for all organisation members (internal/external) in relation to the course and to ensure important information is distributed and communicated to organisation members in good time using the appropriate medium including email.
– To support the delivery of the course through the preparation and updating of Course Information Documents making use of electronic software and systems, such as Moodle and MyCampus, where appropriate.
– To produce and maintain documentation.
– To manage feedback processes via a variety of systems including EvaSys.
– To support administration of BDS Mentoring Programme and the Lead Mentor by arranging training, meetings, room bookings, using appropriate IT tools such as Moodle and Mahara.
– To carry out other duties as directed by Line Manager and others as appropriate.
Essential Skills:
– Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role or Scottish Credit and Qualification Framework level 7 (Advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, in Maths and English and experience of personal development in a similar role.
– Detailed knowledge of bespoke database for managing data records.
– Ability to undertake assigned tasks in a timely manner and to an acceptable standard.
– Initiative and judgement to resolve problems independently.
– Effective planning, organising and prioritising.
– Ability to communicate clearly orally and in writing to ensure effective reporting and customer service.
– Effective IT and numeracy skills with particular skills in MS Office (Word/Excel).
– Well-developed analytical and problem-solving capability.
– Accuracy and attention to detail.
– Competent user of email, internet and web-based systems.
– Relevant work experience or evidence of development and progression.
– Experience of working under pressure and prioritising workload.
– Experience of an administrative role with extensive interaction with people
Desirable Skills:
– Previous experience in relevantbespoke systems – e.g. records/ timetabling/finance systems.
