Administrative Officer (2 days per week)
Venesky-Brown’s client, a public sector organisation in Glasgow, is currently looking to recruit an Administrative Officer for as soon as possible until the end of July 2026 on a rate of £14.18/hour PAYE – working 2 days per week (14 hours p/w). This role will be based onsite in Glasgow.
Responsibilities:
– Respond proactively, with a time efficient and prioritised approach, to tasks delegated to them.
– Support with preparation of programme and course documentation, timetables, detailed reports, research papers and academic plans, including input into the style and format of the documentation as appropriate.
– Assist the Programme Leader/Head of Department (or deputies) with cyclical operational matters that arise including being clear of dates and deadlines and sending reminders as appropriate.
– Attend Administration team meetings and contribute to discussions in respect of repeating/emerging issues and the development and implementation of solutions and sharing of best practice.
– To arrange accommodation and travel.
– To book venues.
– To deal with inquiries and re-direct where appropriate.
– Liaise with Support Departments as required.
– Liaise with partner and other external organisations, where appropriate.
– Ensure maintenance of stationery supplies for designated area(s) and beyond.
– Engage in professional development activities to ensure currency of skills and knowledge of relevant internal and external issues/systems.
– Undertake any such duties as may reasonably be requested.
Essential Skills:
– Able to think logically and systematically in response to challenges and opportunities; able to generate ideas and provide solutions
– Self-motivated, show initiative, and able to work autonomously where required, with minimal direction to tight deadlines is essential
– Possess excellent written and oral communication skills; and an ability to exercise a high level of diplomacy is essential
– Able to engender trust among colleagues and operate with professional credibility;
– A high level of computer literacy and IT skills with an excellent applied knowledge of Microsoft Office; MS Word and MS Excel in particular are essential. Experience of SharePoint, OneDrive and Power-automate highly advantageous.
– A self-starter who can demonstrate a high level of organisational ability and be capable of operating with limited supervision once settled in is essential
– The ability to demonstrate, within a short period, an in-depth knowledge of relevant systems (including digital, database, and other digital resources), equipment, processes and procedures is essential
– The ability to demonstrate, within a short period, an understanding of relevant policies and legislation
– An up-to-date knowledge of developments and trends in Higher Education is highly desirable, as is a willingness to undertake training and staff development as required.
Desirable Skills:
– Educated to HND level or with equivalent experiential prior learning, with a minimum of 2 years proven Higher Education experience in a similar role.
