Administrative Receptionist
Venesky-Brown’s client, a public sector organisation in Glasgow, is currently looking to recruit a Part time Administrative Receptionist for a 4 month contract on a rate of £14.60 per hour (PAYE). This role will be part time, working 2 days per week with flexibility on days worked. The hours will be 9am – 5pm.
Responsibilities:
– Provide a welcoming and efficient first point of contact for customers, staff, employers and other users of the Careers Service.
– Triage enquiries ensuring they are directed to the most relevant resources and services. Using effective enquiry techniques to identify user needs, written and in-person. Provision of relevant information
– Provide administrative support to the Head of Careers and Employability, and other senior staff, undertaking general administrative duties including meeting administration (collation and distribution of papers, minute taking)
– Where appropriate processing expenses, website maintenance, diary management and other general administration.
– Contribute to development and enhancement of policies and procedures for the Careers Reception desk and enquiries mailbox.
– Undertake other duties as appropriate to the grade and content of the post, as directed by the Careers Information & Technology Manager and Head of Careers and Employability. This list of duties is therefore not exhaustive.
Essential Skills:
– A formal qualification such as an HNC/HND or equivalent relevant experience.
– Previous administrative experience in a front-line support role.
– Diary management experience including arranging meetings.
– Excellent written and verbal communication skills, with the ability to articulate information in an accessible way.
– Excellent IT skills including Microsoft Office applications.
– Excellent organisation, prioritisation and time management skills with ability to work under pressure and to tight and sometimes conflicting deadlines.
– Ability to prioritise own workload.
– Ability to maintain confidentiality and deal sensitively with related issues/individuals with tact, diplomacy and discretion.
– Excellent attention to detail and accurate under pressure.
– Ability to work independently and as part of a team.
