Venesky-Brown’s client, a public sector organisation in Inverness, is currently looking to recruit an Clerical Officer for an initial 3 month contract on a rate of £12.78/hour PAYE.
Responsibilities:
– Typing produced to a set standard as per department/policy standard procedures.
– Undertake photocopying for self and colleagues, ensuring copies are of acceptable quality.
– Deal with in-coming and out-going mail to the Department, sort as appropriate and circulate.
– On a daily basis, the post holder is required to deal with telephone calls. Answering queries and transferring calls to other lines within the department and also to other departments.
– Provide a reception service in for patients and visitors to the department.
– Cover for main reception when required.
– Carry out general administrative duties such as dealing with incoming mail, receive telephone calls and
deal with as appropriate, co-ordinate stock and non stock orders, assist with stationery requests, shredding,
receiving and distributing faxes.
– Electronic diary bookings for all meeting rooms.
– Maintain a central diary for bookings of pool cars and issue keys, fuel cards and mileage log sheets
regularly checking log sheet entries and tallying the mileage readings against fuel receipts for onward
referral to Transport Manager. Liaise with local Garage and Transport Manager regarding servicing of
vehicles, replacement spares and reporting of faults.
– Maintain photocopier, i.e. assist staff in operation of same, report faults, issue use access codes, stock with
paper and take meter readings.
– Audio typing
Essential Skills:
– Good general education with numeric ability with a minimum of 3 National 5’s including English, Maths and IT.
– Computer skills, especially Microsoft Word and Excel.
– Well developed interpersonal and communication skills.
– Typing skills.
– Ability to cope under pressure, prioritise conflicting demands and adaptable to changing workloads.
