Administrator
Venesky-Brown’s client, a public sector organisation in Glasgow, is currently looking to recruit a Administrator for a 12 month contract on a rate of £18.03/ Hour (PAYE).
Responsibilities:
– Provide comprehensive administrative support to the Group arranging meetings, room bookings and taking minutes and actions at meetings.
– Provide comprehensive administrative support to the Standards and Frameworks panel arranging meetings and taking minutes and actions at meetings.
– Provide support required to fulfil the procurement asks, raising requisitions, invoicing and registering new suppliers.
– Supporting new Apprenticeship development activities including taking meeting notes and co-ordinating meetings and workshops.
– Act as a first point of contact for the team by co-ordinating queries and responses by telephone, email, face-to- face and by post.
– Monitor and maintain information spreadsheets through the processing of purchase orders and invoices providing reporting as required to support the Standards & Frameworks Operations Manager in the day-to-day financial control of their budget.
– Ensuring the timely collation of all papers for submission and approval to a range of internal and external meetings.
– Assist in the day-to-day management of the National Occupational Standards (NOS) database.
Essential Skills:
– Demonstrable equivalent work experience or be educated to SCQF Level 6 (SVQ 3)
– Previous experience of working as Administrative Assistant, or a similar role
– Excellent organisation and administrative skills with an ability to take notes and produce accurate minutes of meetings
– Competent user of standard IT applications, Microsoft Office – Excel, Word, Outlook and PowerPoint
– Good communications skills, both verbal and written
– Excellent data/records management and maintenance skills
– Good interpersonal skills with the ability to work effectively with people across a wide range of levels and responsibilities
– Excellent organisational and time management skills, able continually to multi-task and deliver against deadlines
– Strong problem-solving skills with a reliable approach to following tasks through to completion
– Acts with personal integrity and the utmost discretion, at all times demonstrating strong values of trustworthiness and reliability
– Focus on accuracy and attention to detail
– Good problem solving and a strong completer/finisher approach
Desirable Skills:
– Working experience of using Artificial Experience (AI)
– Ability to prioritise work, plan, set timescales and manage them efficiently
– Self-motivated with the ability to organise and prioritise workload
– Flexible to ad-hoc requests
– Ability to deal with changing timescales
