Administrator
Venesky Brown Recruitment is delighted to be working in partnership with the Qualifications Scotland to recruit over 200 temporary staff including multiple Administrators with start dates as early as March and running through to July 2026.
These roles are based full time at the Qualifications Scotland Centre in Dalkeith and offer a fantastic opportunity to gain valuable experience in a fast-paced, customer-focused environment, with full training and ongoing support provided.
Shift Patterns Available – Monday to Sunday (5 days out of 7)
  • 8:00am – 4:00pm
  • 9.00am – 5:00pm
  • 1:00pm – 9:00pm
The Role
As an Administrator, you’ll provide high-quality administrative and customer service support to enable the effective delivery of Qualifications Scotland products and services. The role is responsible for ensuring that all administrative processes are carried out accurately, efficiently, and in accordance with Qualification Scotland policies, procedures, and service standards.

What You’ll Be Doing
 
Administrative Support
  • Provide general administrative assistance to ensure that operational activities are completed accurately, on time, and in compliance with documented processes.
  • Maintain accurate and up-to-date records, reports, and spreadsheets to support business operations and data integrity.
  • Carry out filing and document management tasks to ensure information is stored and retrieved in line with Qualifications Scotland policies and information governance requirements.
  • Support process improvements by identifying areas where efficiency and accuracy could be enhanced.
 
Data and Information Management
  • Input, update, and validate data in systems and spreadsheets, ensuring accuracy, consistency, and confidentiality.
 
Customer Service and Communication
  • Deliver a high standard of customer service to internal and external stakeholders by handling queries promptly, courteously, and in accordance with Qualifications Scotland guidelines.
  • Communicate effectively by phone, email, and in writing, providing clear and accurate information.
  • Maintain positive relationships with colleagues, candidates, centres, and other stakeholders.
  • Represent Qualifications Scotland professionally in all interactions.
 
Teamwork and Compliance
  • Collaborate effectively with colleagues and contribute to team objectives and shared workloads.
  • Maintain a tidy and organised work area and comply with all Health and Safety regulations.
  • Follow all relevant policies, procedures, and quality standards, escalating issues or risks to management when necessary.

  • Proven ability to provide high-quality customer service.
  • Proficiency in Microsoft Office applications (particularly Word, Excel, and Outlook).
  • Good keyboard and data entry skills with a high level of accuracy.
  • Ability to work to tight deadlines and manage competing priorities.
  • Flexible and proactive approach to work, with the ability to work independently and as part of a team.
