Assistant Head of Operations
Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit an Assistant Head (Operations) for an initial 23 month contract on a rate of £258.16/day (Outside IR35). This role will be office-based, with a degree of flexibility for working from home.
 
Responsibilities:
 
– Be responsible and accountable for the delivery of operational services across all areas of the organisation, including facilities management of the organisation’s premises, health and safety, and business continuity
– Engage with Heads of Business Areas across the organisation, taking responsibility for ensuring that there is a consistent approach to the development of operational policies and procedures
– As appropriate, contribute to high-level meetings with the organisation’s Executive Team, acting as a subject matter expert in operational areas of the organisation’s business.
– Jointly, with the Assistant Head: Finance and Business Services, lead contractor and supplier review meetings to manage the quality of service and contract compliance
– Through liaison with other areas of the business, identify areas for continuous improvement (CI) of operational services, ensuring that the appropriate and proportionate service levels are delivered and that value for money is achieved
– Work with the ‘Head of’ the business area and the lead of the Policies & Procedures Review Group (PPRG) to ensure the creation, development and continued review of all relevant policies and procedures are in line with organisational standards and that reviews are undertaken within the agreed timescales, ensuring they are up-to-date and fit for purpose.
– Lead a team of staff of varying grades, both staff on assignment and interim workers, having day-to-day responsibility for their performance, wellbeing and development
– Be responsible for providing timely status reports to the Head of Records, IT, Operations, Finance, Business Services, and Projects on workloads, progress against targets and any ‘pinch-points’ so that updates can be provided to the organisation’s Senior Management Team
– Be responsible and accountable for the organisation’s facilities management and fulfilment of its ongoing health and safety obligations, ensuring the continuation of a safe, secure, and comfortable working environment for those working for the organisation’s visitors
– Develop positive and effective internal and external relationships to ensure a productive working relationship with colleagues across the organisation, as well as external organisations and service providers
– Support the implementation of a culture of continuous improvement to drive business performance and key performance indicators to measures high-level performance for organisation priorities.
 
Essential Skills:
 
– Degree/HND or equivalent in relevant Operations Management course and/or significant relevant work experience at management level
– A sound working knowledge and experience of Hard and Soft Facilities Management
– Proven ability to work plan, prioritise, manage competing demands, and meet tight deadlines within a fast paced, dynamic environment
– Ability to interrogate analytical and management information and provide concise, evidence-based information for review and consideration
– IT Literate, with strong knowledge of Microsoft Word, Excel, Project, PowerPoint, and Outlook
– Established team player and experience of managing relationships with a wide range of internal and external stakeholders
– Excellent oral and written communication skills with an ability to confidently present and engage in a range of internal and external settings
– Meticulous attention to detail
– A high degree of self-awareness and personal resilience
