Business Support Assistant
Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit a Business Support Assistant for an initial 3 month contract on a rate of £115-£130/day (inside IR35) This role will be a hybrid of working at home and in the office. 
 
Responsibilities: 
 
– Carrying out reception duties, including answering telephone calls and greeting visitors.  
– Making the office a welcoming environment for staff and visitors, ensuring meeting rooms are set up (including IT set up) as required, kept tidy and presentable, and cleared down after meetings and at the end of each day. 
– Assisting the Business Support Manager in providing administrative support to the business, including arranging meetings, booking catering, arranging travel and accommodation. 
– Being responsible for outgoing mail and processing and delivery of incoming mail. 
– Preparing orders for office supplies and stationery. 
– Assisting the Business Support Manager to keep accurate Health and Safety compliance records. 
General Office Duties 
– Ensuring visitors are offered refreshments, signed in, advised of location of facilities etc. 
– Responsible for ensuring the office is presentable, tidy and well maintained. Liaising with external suppliers when necessary (cleaning company etc). 
– Responsible for ensuring that kitchen areas are presentable, well maintained and fridges and cupboards regularly cleared and cleaned.  Ensuring recycling is separated and sorted. 
– Arranging courier services for colleagues when required. 
– Maintaining stationery and general office supplies – conducting regular stock checks. 
Administration 
– Supporting internal meetings, arranging dates, circulating agendas and papers when directed. 
– Assisting the Finance team in preparing and processing expense claims and purchase orders. 
– Providing support to the Procurement Manager, including maintaining databases and scheduling training. 
– Managing the main enquiries inbox and answering all e-mails in a timely manner. 
 
Essential Skills: 
 
– Excellent IT skills across Microsoft Office, especially Excel, Word, PowerPoint, Microsoft Teams and Sharepoint.  
– Strong customer service skills.
