Business Support Officer
Venesky-Brown’s client, a public sector organisation in Stirling, is currently looking to recruit a Business Support Officer for an initial 3 month contract with potential to extend on a rate of £13.37/hour PAYE. This role will be based onsite. The working hours are 35 hours per week.
Responsibilities:
– Providing comprehensive administrative support and assistance involving activities such as word processing of correspondence, reports and policy documents, scheduling and minuting meetings, mail opening/scanning and tracking, filing in line with record retention rules; and designing presentational material
– Using financial systems to assist with monitoring expenditure against budget allocations, including e-procurement and e-purchasing and payment of goods and services. This could involve sourcing and booking of travel/accommodation, supplies and services, This could also involve cash receipting and disbursement, coding of invoices for authorisation, checking accuracy in accordance with procedures, calculating and reconciliation of creditors’ payments and debtors’ invoices in accordance with procedures
– Maintaining stocks of stationary and office consumables.
– Entering data to maintain and update Service information management systems in line with agreed timescales and deadlines
– Working as a member of the team to share best practice in relation to the development of effective and efficient administrative systems, protocols and procedures. Suggesting improvements to administrative standards and procedures. Supporting staff by training on Business support functions.
– Monitoring and actioning emails to multiple Service email boxes in line with agreed processes
– Working flexibly, participating in any other tasks as directed by the management team
– Handling/processing information which will be of a personal, confidential and sensitive nature
– The post holder will be required to raise purchase orders of high value, however will have no financial authorisation limit
– Vehicle packs and Keys, including fuel cards
– Stock control of PPE or Stationary
– The post holder will perform duties with limited support and guidance
– Ability to prioritise workload to aid delivery of tasks against timelines and competing demands
– Exercise initiative and discretion, applying these to finding and implementing solutions to situations and problems
– Demonstrate a friendly, positive, customer focused approach, even in challenging situations.
– Work unsupervised with a high level of self-discipline and maintaining target levels of performance as required.
– Ability to analyse complex information or problems and help to further develop systems and business processes.
– Work as an active team member through participation and co-operation.
– Ability to work individually and as part of a small team to ensure service delivery
– Although an office based position there will be an element of light manual handling e.g. lifting boxes, files etc.
– Post holder will require to work flexibly to meet the changing priorities of this post and to meet the demands of the Service areas.
Essential Skills:
– Good general education, SQA or equivalent qualification in Business administration or equivalent experience
– Excellent IT skills
– Helpful, courteous and flexible approach
– Good organisation and communication skills
– Strong numeracy skills
– Previous relevant experience
– Experienced team worker
