Charity Accounts Assistant
Venesky-Brown’s client, a public sector organisation in Norwich, is currently looking to recruit a Charity Accounts Assistant for an initial 12-week contract with the potential to extend at a rate of 12.31 per hour. This role is Office-based, Monday to Friday, 37.5 hours per week.

Responsibilities:
- Process Charitable Funds requests daily. Raising order requests and obtaining the necessary in line with Charity. Liaising with suppliers to obtain quotes and place orders.
- Support in the management of Charitable Funds email inbox, ensuring timely and professional responses.
- Provide administrative support for the Charity, supporting the team as appropriate.
- Responsible for ensuring all accounting records, systems and files are promptly and accurately maintained, including appropriate treatment of VAT and tax and NI implications according to current guidance for Charities.
- Create, complete, and maintain invoice records, obtain appropriate authorisation for timely payments and resolve issues and queries. Liaise with suppliers, other finance teams,
- Organisations Budget Holders and the Procurement Department and refer to finance ledgers to investigate discrepancies and resolve in a timely manner.
- Provide financial information to Managers and senior managers and assist them with any queries and ad hoc requests.
- Input month-end journals and reconciliations of the organisation’s finance ledger. Ensure to work within the month-end timetable to ensure that accurate and timely financial information is available to Managers and senior management. On a monthly basis, complete a bank reconciliation for each organisation’s bank account.
- Issue fund statements to Fund Managers monthly.
- Maintain an accurate record of Fund Managers
- Reconcile the financial position between the Trust and the Charity monthly whilst ensuring that the balance is cleared promptly. Work with other finance teams to investigate any discrepancies and resolve them in accordance with the month-end timetable.
- Arrange invoicing for income for Funds. Assist with queries referring to ledgers and liaising with the Accounts Receivable team. Advise Fund Managers of the policies and rules when necessary. Liaise with solicitors etc. as required to ensure that income from legacies is promptly and accurately received and recorded.
- Ensure accurate receipt of donation cheques and allocate them to the correct funds.
- Assist in providing the Head of Charity and Head of Financial Governance and Compliance with financial support and advice as necessary. Arrange to receive donations, setting up new funds, assisting with grant applications and invoicing.
- Maintain accurate Gift Aid Records and prepare claims for submission.
- Propose changes and improvements to procedures in Charitable Funds duties. Help to implement changes and modifications as advised by the Head of Charity, other senior staff and the Charitable Funds Committee.
- Assist with completing the Charitable Funds annual accounts and year-end processes.
- Assist internal and external auditors with queries, samples and other information as required by them; and to prepare accurate and complete information for them in advance of audits and as requested by them. Resolve auditor’s queries as required.
- To take all cash and cheques to the bank as require Support the Charity in identifying the most effective use of charitable funds.
- Provide support for the Accounts Receivable / Accounts Payable Function within the
- Trust Finance Team, as required.
- Attend and participate in meetings where appropriate.
- Promoting the vision, values, and goals of the organisation
- Maintain membership of the appropriate accounting body (AAT or CCAB).
- The ability to prioritise own workload and work to tight deadlines.
- The post holder will be expected to maintain confidentiality.
- Other duties and responsibilities of the post will be flexible and will be reviewed by the Head of Charity / Head of Financial Governance and Compliance.
Essential Skills:
- Minimum 5 GCSE’s Grade C or above (including Maths and English) or equivalent
- Studying to AAT Intermediate (or equivalent NVQ level 3)
- AAT Intermediate qualified or an A level in accounting
- Equivalent finance department work experience
- Excellent working knowledge of Microsoft Outlook, Excel and Word
- Relevant experience of working with Finance computers systems
- Working to a high degree of accuracy
- Strong communication skills and a respect for confidentiality
- Able to plan, organise and prioritise workload to ensure financial timetables are met
- Experience of working in an accounts payable / accounts receivable setting
- 9:05 AM Charity finance or Charity sector finance experience
Desirable Skills:
- Excellent Communication skills — Ability to communicate effectively using verbal and written skills

- Integrity for dealing with cash and credit card.
