Executive Office Assistant
Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit an Executive Office Assistant for an initial 6 month contract with option to extend on a rate of £150-£175/day (Inside IR35). This role will be Flexible, however, regular attendance at the Edinburgh office will be required.
Responsibilities:
– Monitoring the Freedom of Information request (FOI) and Corporate Affairs mailboxes
– Administration of correspondence /FOI/EIR/Complaints lead/ requests
– Assisting senior team members with diary management, monitoring and responding to emails as appropriate
– Assist with planning and accurate minute taking for key senior meetings (in person and hybrid)
– Assist in managing other corporate correspondence, triaging, commissioning and quality assuring responses
– Assist in responding to Freedom of Information Requests and requests made through Environmental Information Regulations, undertaking duties such as logging and triaging requests, contributing to compilation of draft responses, and carrying out redactions
– Logging and triaging complaints
– Support and collaborate with colleagues both in the Corporate Affairs Team and across the organisation
Essential Skills:
– Excellent organisational skills, with the ability to prioritise workloads and find efficient ways of managing work
– Ability to use a range of digital communication platforms and computer systems e.g. Microsoft Office products
– Experience of redacting documents ensuring compliance with legal and regulatory standards
– Strong ability to work as part of a team and with a wide range of colleagues
– Administration skills and supporting senior staff in their inbox and diary management
– Strong experience of and the ability to manage the planning and accurate minute taking for meetings (in person and hybrid).
Desirable Skills:
– Knowledge and experience of Freedom of Information and Environment information (Scotland) Regulations requests
– Experience of using case management systems or planning tools
– Previous experience of working within a public sector corporate/policy team setting
– Familiar with FOI/EIR/Data protection legislation
