Executive Support Assistant
Venesky-Brown’s client, a public sector organisation in East Renfrewshire, is currently looking to recruit an Executive Support Assistant for an initial 6 week contract on a rate of £16.30/hour PAYE – working 35 hours per week. This role will be based in East Renfrewshire.
 
Responsibilities:
 
– To assess operational and strategic needs and provide comprehensive support to Senior Management as required.
– To manage the electronic mailboxes of the Director and Heads of Service, as required, on their behalf, ensuring efficient scheduling, delegating and re-allocating e-mails and drafting responses as required, using initiative to make any urgent decisions required during their absence.
– To manage the Director and Heads of Service diary, including diary management, meetings preparation and dealing with requests for meetings and briefings.
– To manage shared electronic mailboxes as required (e.g. business support, absence management, customer relations generic mailboxes).
– Manage all incoming and outgoing correspondence as required, prioritising, delegating and responding as required.
– To support broader colleagues in the Environment Department, being flexible in providing cover (planned and short notice, from time to time as required.
– To manage the administration and preparation for the director and Heads of Service Housing & Property’s Management Teams as required including preparation of agendas and the management and filing of the information.
– Attend meetings as required ensuring an accurate minute of the meeting and follow up on action points.
– To manage and collate all papers and reports for key meetings and seek briefing papers for any agenda item from relevant staff.
– To ensure any actions required to be undertaken by the Director and Head of Service are followed up and actioned.
– To manage and collate service reports for submission to the Department and Corporate Management Teams and ensure all decisions are followed up and actioned.
– To process and collate information relating to employees and equipment as required.
– To coordinate stationery orders and make transport and travel arrangements as required.
– To assist in the completion of returns to internal and external bodies and organisations on behalf of the Director and Heads of Service.
– To maintain records, files and correspondence for the Director and Heads of Service electronically.
– To undertake any other appropriate duties as may be directed by the Director and the Heads of Service.
– To operate, maintain and update appropriate computer information systems on behalf of the Director and Heads of Service.
– To demonstrate the organisation’s values and maintain the highest standard of confidentiality, conduct and integrity.
– To exercise sound judgement in managing politically sensitive issues and information.
– Carry out any other duties that fall within the broad spirit, scope and purpose of this job description.
