Facilities Compliance Manager
Venesky-Brown’s client, a public sector organisation with offices in Glasgow and Edinburgh, is currently looking to recruit a Facilities Compliance Manager for an initial 3 month contract on a rate of £17.23/hour (PAYE).
 
Responsibilities:
 
– Assist the Accommodation Services Manager and Waste Management Officer in preparation, delivery, updating and monitoring all work plans, documentation and deliverables.
– As data is a critical part of Facilities Management, the post holder will be required support setting up, maintaining and analysing a number of databases and information management systems in order to develop and implement procedures to ensure efficiency of the work and programme administration.
– Requirement of investigation, interrogation and manipulation of data to support management for reports and identification of areas for improvement to meet the Waste Strategy and National Cleaning Standards
– Regularly provide updates and guidance to Accommodation Services Manager as well as other internal/external stakeholders.
– Undertake annual Waste audits within office and warehouse accommodation, waste PreAcceptance audits within healthcare settings to meet requirements of waste Contract’s. Requirement to audit, action plan, investigate, support improvement and report to the Waste Management Delivery Group audit results and actions.
– Support implementation of Facilities processes, monitoring and reporting on progress to ensure compliance.
– The post holder will contribute to internal and national Waste Management group as required whether in person or through provision of reports or documentation.
– Provide secretariat support to Accommodation Services Manager include diary co-ordination and arranging meetings together with all related duties. All work must be of a high standard, be completed within agreed timescales and meet expectations.
– From all systems, the post holder will generate reports for use by management and / or other appropriate individuals. A strong audit trail will be required with version control for all documentation.
– Ensure all documentation is filed in the appropriate place and manner ensuring good governance as appropriate. Liaise with internal departments to ensure all documentation is acted upon appropriately and meet expectations.
– Undertake full and accurate minute taking as and when required for Accommodation Services Manager and groups.
– Contribute to preparation of documents which requires an understanding of forward planning and budget control, including ordering of provisions with an anticipated annual spend of £975k.
– Deputise for Assistant Accommodation Services Manager in their absence to provide guidance and support to Facilities Supervisors including Line Management responsibilities when required.
– Responsible for recruitment, retention and development of staff whilst managing staff through performance reviews. Responsible for dealing with absence reporting, management and disciplinary process through the Policies and Procedures.
– Responsible for the delivery of role specific training for both Facilities Assistants and Facilities Supervisors.
– Including annual refresher training and monitoring of departmental training matrix.
– Responsible for the day-to-day management of the four supervisors
 
Essential Skills:
 
– Degree in Office Administration or related subject or equivalent experience years in a busy office environment
– REHIS two-day Waste Legislation training or other waste related training
– In-depth working knowledge of standard office software packages e.g. Microsoft 365
– Team player with excellent interpersonal and communication skills and a well developed organisational ability.
– Experience in the delivery of training and confident in contributing to/with colleagues and stakeholders.
– Minute taking skills.
– To have the ability to learn and gain knowledge of technical phrases to enable an increased efficiency and understanding in their role.
– Commitment to work towards Chartered member of CIWM, updating skills and life-long learning.
– Valid Driving Licence
