Front of House Receptionist
Venesky-Brown’s client, a public sector organisation in Glasgow, is currently looking to recruit a Front of House Receptionist & Administrator for an initial 8-day contract with potential to extend on a rate of £13.85 per hour PAYE. This role will be based on-site.

Responsibilities:
To provide Front of House reception services for the organisation and general administrative support, including fielding general enquiries and to be responsible for over-the-counter bookings for public classes and other sales.
- Be the first point of contact for all visitors to the organisation, and for phone and email enquiries.
- Provide a high-standard front-of-house service.
- Assist with general administration (i.e. copy typing, preparation of general letters, mail merges, etc) and bookings and preparation of meeting rooms, etc, as required.
- Take over-the-counter bookings and enquiries for public classes and assist with merchandise sales
- Operate the Company’s switchboard, fielding all calls and enquiries.
- Act as the first point of contact for all visitors to the organisation.
- Ensure Front of House is kept neat and tidy; flowers ordered weekly etc.
- Manage the Company’s mail.
- Prepare and circulate the Company’s weekly visitors list.
- Maintain stock inventories and order all stationery, building/office consumables, first aid supplies and sundries, as required.
- Take bookings, set up and maintain the Company’s meeting rooms; ensuring cupboards are appropriately stocked, rooms are ‘meeting ready’, and conference phone/ projectors set up as required.
- Order milk/tea/coffee etc and catering for meetings, as required.
- Maintain the online car and equipment booking diary.
- Update the Company’s repertoire history archive after each production.
- Process over the counter and online public class and merchandise sales, and update client information using company’s systems.
- Direct feedback/enquiry emails (via the website) to the relevant staff or respond as appropriate.
- To provide cover for the Receptionist/Administrator (Evenings), where appropriate (i.e. holiday or absence), taking responsibility for security checks and opening and closing down the building.
- Provide general administrative support to the Corporate Services team, and other departments as required: including the preparation of letters, notices, collation of Education feedback forms, filing, scanning etc,
- Assist Advancement Department with data entry into systems, mail-outs etc,
- Assist to manage the building access system – updating the register and activating/deactivating fobs as required.
- Assist in maintaining the Company’s central filing system.
- Assist with accommodation and travel bookings for staff and visitors, as required.
- Assist the Executive Administrator in relation to the preparation and production of papers for Board, Committee, and other meetings, as required.
- Excellent communication and written skills.
- Friendly, approachable, and presentable.
- Conscientious, discreet, enthusiastic, and reliable.
- Ability to maintain confidentiality.
- An interest in the arts and dance would be advantageous.
Desirable Skills:
- Qualified to Degree level or equivalent.
- Experience working in reception/ administration or a similar environment.
- An adept working knowledge of Windows-based packages, Word, Outlook, Excel etc.
- Solid working knowledge of CRM databases.
- Ability and willingness to work to own initiative and as part of a team.
- Thorough, accurate and able to work under pressure.
- First Aid Certified or willingness to be First Aid trained.
- Willingness to be Fire Marshal trained.
