Housing Administrator
Venesky-Brown’s client, a public sector organisation, Barrhead, is currently looking to recruit a Housing Assistant on an initial 3 month contract with possible extension on a rate of £12.26 PAYE. Working 35 hours per week. This role will be held in the organisation’s office in Barrhead.
Responsibilities:
– To provide an initial assessment/advice/triage service for customers to determine how best to proceed with their enquiry. To achieve this, the Housing Assistant will provide a caring professional service to tenants and other customers, both internal and external, following the organisation’s customer care policies, including responding to telephone calls, face-to-face contact, letter, emails, etc., within specific timescales
– To provide administrative and clerical support to Housing Officers, including monitoring rent accounts/ maximising rental income/ minimising rent loss, tenancy, estate management and reviewing, managing and processing applications for housing either manually or online.
– To receive/record mail and other verbal/written enquiries and allocate/process in accordance with departmental procedures.
– To accurately collect, record and maintain customer information, ensuring information systems, files and databases are kept up to date. In addition, where necessary, complete timely referrals to either internal or external contacts as appropriate, in doing so ensuring that all data privacy guidelines are followed at all times
– Apply and support the use of all housing management systems and mobile technologies to ensure all information/ cases/ applications and associated communications are processed appropriately and effectively recorded.
– To carry out any other duties as directed by senior staff that are commensurate to the grade of the post
– To ensure the implementation of the organisation’s health and safety policies and compliance with all statutory requirements to ensure the health, safety and welfare of employees, the general public and others
– Support the wider transformation and change programmes of work within the service and contribute towards continually improving how things are done, embracing digital transformation and new ways of working
– To take personal responsibility for the good use of the organisation’s resources appropriate to the job level and work area
– To take responsibility for the development and implementation of their own personal development plan and their own continued professional development in those areas relevant to the role within the Organisation’.
– Deputise for the Housing Management Officer (Tenancy), as required
– To undertake other duties from time to time which are not specified above, which are commensurate to the grade and under the direction of the post’s line manager or other members of the Senior Management Team
Essential Skills:
– Educated to standard grade or equivalent
– Experience of dealing with members of the public face to face.
– Experience of basic letter and report writing
– Excellent written, verbal and spoken communication skills
– Ability to utilise Microsoft Office applications e.g. Word, Excel, PowerPoint
– Ability to work well as part of a team
– Able to remain calm and collected under pressure
– Excellent customer service skills
Desirable Skills:
– NC/HNC in housing or related discipline
– Experience in dealing with housing-related systems e.g. OHMS, NPS Housing, AVD
