HR Assistant
Venesky-Brown’s client, a public sector organisation in Glasgow, is currently looking to recruit a HR Assistant until the end of September 2025 on a rate of £15.17/hour PAYE – working 21-28 hours per week. This role will initially be based on site in Glasgow – after 12 weeks hybrid working may be considered.
Responsibilities:
– Support the administration of sickness absence including, input to HR21/chris21, checking input by Administrators, ensuring that self-certificates, fit notes and isolation notes are collated and filed in accordance with the organisation’s retention schedule.
– Provide Line Managers/Supervisors with 12-month absence reports to allow Return to Work Interviews to take place including the completion of appropriate Return to Work and Sickness Absence Review Forms.
– Ensure that all paperwork associated with Sickness Absence is filed for future access.
– Monitor and record on HR systems the issue of new and replacement Staff ID and Subway Smartcards.
– Support the administration of health and wellbeing campaigns, including but not limited to, the flu vaccinations, hand arm vibration (HAVs) and nightshift workers annual assessments.
– Liaise with Occupational Health regards medication enquiry forms and advise outcomes to Managers.
– Record and track agency contracts and ensure Line Managers are aware of imminent contract end dates.
– Record and track probation periods and salary increments and ensure Line Managers are aware of review and completion dates.
– Assist the Head of HR and HR Advisers with recruitment campaigns and onboarding tasks including posting adverts on appropriate systems and processing applications, obtaining references and medical clearance.
– Prepare, as appropriate letters and payroll forms for sign off by the Head of HR and HR Advisers.
– Respond to general HR enquiries, as appropriate.
– Identify opportunities for e-HR for continuous improvement and development to HR business processes.
– Assist in the production of monthly reports as directed by the Senior HR & Systems Adviser.
– Assist with research and any new initiatives specifically related to Subway Modernisation as directed by the Head of HR.
Essential Skills:
– National 5 Level A-C or equivalent in English and Maths/Arithmetic
– Good administrative skills with the ability to create and implement and improve systems
– Ability to understand policies and procedures
– Ability to communicate professionally both verbally and in writing
– Proficient user of IT systems, particularly MS Office Suite (Word, Excel, PowerPoint etc)
– Ability to collect and collate information
– Able to work collaboratively within a team, give and receive constructive feedback
– Able to work under pressure and meet deadlines
– Confident in working unsupervised, a self-starter willing to accept a challenge
– Must be able manage and prioritise own workload
– Committed to high quality standards, attention to detail
Desirable Skills:
– Higher Level A-C or equivalent in English and Maths
– Certificate in Personnel Practice
– Good understanding of employment law
– Knowledge of data protection
– Knowledge of e-HR systems
