Information & Records Manager
Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit an Information & Records Manager for an initial 3 month contract on a rate of £400-£500/day (inside IR35). This role will be hybrid working.
 
Responsibilities:
 
– Dealing with information requests
– Supporting the Data Protection (DP) Officer and the business in relation to DP matters.
– Assisting with other general admin tasks during quiet times.
– Manage the offsite data storage working with external providers to ensure an efficient process is in place to archive and retrieve files and that destruction of data is carried out in line with retention policies.
– Be the principal point of contact for internal and external information requests, ensuring that the business complies with legislation including the Freedom of Information (Scotland Act) 2002 and the Environmental Information Regulations (Scotland) 2004
– Supporting the DP Officer with DP activity and requirements across the business including subject access requests.
– To liaise with and manage contracts with external physical data storage providers, ensuring there is an efficient and effective process in place for archiving paper files and tracking archived files.
– To be responsible for the protection and management of the business’s archives whether held internally or externally.
– To be responsible for the retention of records and ensuring the destruction of electronic and physical data and records is carried out in line with the business’s policies and procedures.
– To be the principle point of contact for information requests both internally and externally, including all Freedom of Information and Environmental Information requests.
– To liaise with colleagues to obtain information requested and issue responses within required timescales. This includes redacting sensitive/personal information from any files.
– To ensure that the business complies with relevant legislative requirements and best practice guidelines
– Regularly reviewing and updating the Model Publication Scheme in line with the Commissioner Guidelines.
– Timely reporting of statistical information to the Commissioner.
– Preparing reports as required for the Executive Team and the Board on the volume and nature of information requests received.
– Publication of FOISA/EIR disclosure sheets on the Crown Estate Scotland website as appropriate.
– To support the DP Officer in ensuring that Crown Estate Scotland is compliant with DP legislation.
– To support the DP Officer in maintaining the data protection policy and procedures, ensuring staff are fully engaged and regularly trained.
– To support the business in conducting Data Privacy Impact Assessments and in ensuring that these are recorded and, if appropriate, published on the website.
– To identify and escalate issues in relation to data security, integrity and management.
– When Information requests and Data Protection are quiet role will be asked to assist in any other general admin requested by their manager.
 
 
Essential Skills:
 
– FOISA, EIR and GDPR
– Performing eDiscovery searches of Office 365 (Email and SharePoint) to support FOISA, EIR and GDPR requests
