Programme Support Officer
Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit a Programme Support Officer for an initial 6 month contract on a rate of £250 – £300/day (inside IR35). This role will be hybrid working with at least 3 days in Edinburgh Office per week.
Responsibilities:
– Develop, maintain, and update reporting templates to streamline the presentation of programme data.
– Create and manage dashboards that offer real-time insights into programme performance, key milestones, risks, and issues.
– Design and maintain trackers for key deliverables, ensuring that all programme activities are monitored effectively, and deadlines are met.
– Provide secretariat support to governance groups, including Programme Board, Scrutiny Group, and groups to be determined as programme develops.
– Schedule meetings, prepare agendas, compile meeting papers, and ensure accurate minute-taking for these groups.
– Track actions arising from governance meetings and ensure appropriate follow-up with responsible stakeholders/owners and accountable project managers.
– Assist in maintaining the programme’s action risk and issue logs, ensuring updates are communicated to relevant stakeholders.
– Support the Programme Director in identifying, escalating, and managing programme risks and issues.
– Assist in tracking change requests and ensuring proper documentation is maintained.
– Function as the point of contact for internal and external programme communications and support the Business Change Manager and internal communications teams.
– Coordinate and schedule programme-related meetings, workshops, and events and support internal communications teams as required.
– Assist in the Programme Director in the preparation of programme reports and presentations for senior management and governance groups.
– Gather and analyse data from various programme workstreams to support reporting and decision-making.
– Provide key programme intelligence and ensure that it is accessible to relevant stakeholders.
– Identify trends or areas of concern through data analysis and provide recommendations for improvements.
– Ensure that all programme documentation, including plans, reports, and logs, is up to date and stored appropriately.
– Maintain a document repository to ensure ease of access for all programme team members.
– Ensure the above comply with and meet standards required by the Programme Management Office as these develop.
Essential Skills:
– Previous experience in a project/programme support role, preferably within a large programme or change environment. Ideally at start up.
– Strong proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Word.
– Experience in developing reporting templates, dashboards, and trackers.
– Knowledge of risk, issue, and change management processes.
– Excellent organisational skills and attention to detail.
– Strong communication and interpersonal skills, with the ability to consult effectively with multiple stakeholders.
– Confident individual able to engage with senior executives.
– Experience in supporting governance boards, including minute-taking and action tracking.
– Strong analytical and problem-solving skills.
– Ability to work autonomously and as part of a team.
– High level of organisation and ability to prioritise tasks.
– Ability to manage competing priorities under tight deadlines.
– Excellent written and verbal communication skills, able to hold others to account and support others in use of key templates, documents.
– Flexible willing and able to support gaps in the early stages of programme development and establishment.
