Project Coordinator
Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit a Project Coordinator for as soon as possible for an initial 3 month contract on a rate of £17.08/hour PAYE – working 35 hours per week. This role will be based onsite in Edinburgh.
Responsibilities:
– Support governance structures for the Estates and Sustainability function and its programmes, including scheduling, agenda preparation, report coordination, and minute-taking for oversight committees, programme boards and working groups.
– Maintain accurate records and ensure compliance with GDPR and FOI requirements.
– Develop and manage the annual meetings.
– Support the cross-organisational secretariat as agreed, including the Health & Safety Committee and / or similar.
– Assist with the efficient execution of workflow processes by ensuring flow of project documentation, timelines, and deliverables across projects and initiatives is produced and submitted in a timely manner.
– Create standardised templates to eliminate duplication and increase efficiency.
– Proactively work with other Project Coordinators (internal and external) to ensure progress on actions are captured and managed for monthly reporting purposes.
– Devising and maintaining efficient office administration processes to support the department.
– Prepare and review internal presentation documents and run reports.
– Liaise with Finance to raise purchase orders, process invoices, and monitor spending against project budgets using available technology solutions.
– Assist in preparing financial reports and tracking expenditure across multiple budget lines.
– Proactively manage the flow of financial information (flagging potential issues) to keep project managers informed.
– Draft internal communications, updates, and reports for stakeholders.
– Act as a point of contact for project-related queries and ensure timely dissemination of information.
– Maintain project dashboards and trackers to support reporting to senior leadership and governance groups.
– Assist in compiling data for performance reviews, audits, and funding applications
– Maintain accurate and secure filing systems (paper & electronic), including archiving.
– Perform ad hoc confidential project work and data analysis
– Work with departmental peers to manage workloads, share information and standardise processes.
– Provide holiday cover as required.
– Support the Head of Estates & Sustainability with any additional agreed tasks and duties.
Essential Skills:
– Highly motivated, proactive and practical with a strong work ethic.
– Organised with exceptional time keeping, multi-tasking, and prioritising abilities.
– Computer literate with expert knowledge of Microsoft PowerPoint, Excel and Word.
– Previous experience in a project office environment managing schedules, resources and documentation.
– A keen eye for detail to ensure that meeting minutes, project updates and papers are completed accurately and correct.
– Excellent verbal and written communication skills demonstrating an ability to relay information clearly to team members, stakeholders and consultants.
– Proven ability to work independently with minimal supervision, as well as collaboratively within a team.
– Effective under pressure and able to meet deadlines.
– Ability to handle confidential issues with discretion and sensitivity.
– Experience in documentation management and reporting to ensure records are accurate and stored in the required format.
– Ability to prioritise tasks and manage time effectively, looking for opportunities to drive efficiency through smart ways of working.
Desirable Skills:
– Educated to degree level.
– Familiarity with project management software such as MS Project, Trello etc.
– Understanding of BIM methodologies and quality assurance standards
– Previous experience of working within the public sector / charitable / academic organisation
