Secretary
Venesky-Brown’s client, a public sector organisation in Aberdeen, is currently looking to recruit a Private Secretary to Deputy Chief Executive Officer for an initial period up to 12 months contract on a rate of £17.76/hour (PAYE). This role will follow a hybrid approach.
Responsibilities:
– Ensure efficient and effective oversight and accountability in the management of the DCEO’s diary, enabling optimal organisation and prioritisation of commitments.
– Support the DCEO in maintaining robust stakeholder relationships by developing and sustaining a comprehensive and up-to-date understanding of the broader remit and responsibilities. Build strong working relationships with both internal and external stakeholders, actively identify engagement opportunities, coordinate stakeholder engagement activities, and facilitate regular meetings with key stakeholders.
– Oversee the management of business, including off-site meetings, with a focus on enhancing process efficiency and effectiveness. Ensure relevant documents and emails concerning the DCEO’s work are appropriately stored in ERDM and proactively bring significant and current issues to their attention.
– Deliver high-level secretariat support to the DCEO and the meetings they attend. Guarantee the DCEO’s preparedness for meetings and events by identifying requirements for briefing or speaking notes, commissioning information from officials, coordinating the timely production of briefings, speeches, and presentations, and compiling briefing packs.
Essential Skills:
– Proven experience in working in fast-paced environments, demonstrating the ability to take initiative and quickly identify and address key issues.
– Proven experience in building effective cross-office relationships, making informed decisions under pressure, and managing competing priorities to meet tight deadlines.
