Service Support Assistant


Venesky-Brown’s client, a public sector organisation in Oldbury, is currently looking to recruit a Service Support Assistant for an initial contract until March 2025 with potential to extend on a rate of £12.88 PAYE 37 h37 hours per week. Monday to Thursday 09:00-17:30 and Friday 09:00-17:00 with 1 hour lunch break. hybrid working organisation 2-3 days a week in the office

 

Responsibilities:

To work as part of a team providing comprehensive administrative support across the service.

To ensure the accuracy and consistency of electronic information.

To act as a contact point to ensure an effective and accurate response is provided to all service users.

To demonstrate an awareness of teamwork and roles and provide feedback with ideas and suggestions for improvement.

  • To work as part of a team providing effective administrative support to workers and managers within the service.
  • To fully utilise IT in order to provide and develop that support and to be familiar with all operating systems used within the service area, including processing orders.
  • To be fully conversant with relevant electronic systems and act as a champion for these, providing advice and support to practitioners and managers on non-practice-related processes.
  • To co-ordinate and take notes at meetings, including some of a highly confidential nature in a multi-agency setting, as directed by the supervisor.
  • Co-ordinating diaries to support staff, making appointments as required, booking rooms, and ensuring that all involved are aware of the arrangements.
  • Provide the first point of contact for visitors and telephone enquiries, addressing such enquiries and referring them on when appropriate.
  • Prioritise incoming post and messages, alerting officers and practitioners to matters requiring attention.
  • Updating relevant systems to ensure accurate record-keeping.
  • Supporting officers in setting up new systems and processes.
  • Accurate inputting of data onto the electronic systems used within the organisation.
  • Responsibility for maintaining files and record systems, whether paper or electronic. This includes photocopying, filing, scanning, and uploading documents, ensuring consistency of records and compliance with organisational standards.
  • Ensuring that tasks allocated are completed accurately and within allocated timescales.
  • To participate in the operation of the organisation’s appraisal scheme.
  • To carry out duties in line with the organisation’s equality policy, being sensitive and caring to the needs of the disadvantaged, and promoting a positive and harmonious working environment. Act as an exemplar on these issues and identify and monitor training for yourself and any employees under your supervision, in line with equality legislation.
  • Such other duties as may be appropriate to achieve the objectives of the post and assist in the fulfilment of organisational objectives, commensurate with the post holder’s salary grade, abilities, and aptitudes.
  • Ensuring accuracy and consistency of information.
  • The post holder must at all times carry out responsibilities with due regard to the organisation’s policies and arrangements for health and safety at work.
Essential Skills:

  • Be able to demonstrate previous experience of working in a business admin role.
  • GCSE Maths & English or equivalent.
  • NVQ Level 1 in Business Administration or word processing/typing at RSA Level 2 or equivalent.
  • Previous office experience.
  • Experience of using Microsoft Office packages.
  • Experience of finance and procurement would be an advantage.
  • Have excellent written and verbal communication skills and good attention to detail.
  • Have the ability to plan and organise diaries.
  • A background check may be required for this role.
  • Experience of working in a busy office.
  • Planning and organising events and diaries.
  • Knowledge and ability to utilise Microsoft Office-based packages (e.g., PowerPoint, Excel, Word).
  • Ability to use other IT packages.
  • Flexibility of location and working hours dependent upon the needs of the service.
  • Ability to work well with others at all levels within the organisation.
  • Self-motivated.
  • Attention to detail and accuracy of work.
  • Ability to work under pressure.
