Admin Assistant
Contract length: 3 month contract
Pay rate: £14.68/hour PAYE
Location: Inverness
Venesky-Brown’s client, a public sector organisation in Inverness, is currently looking to recruit an Admin Assistant for an initial 3 month contract with option to extend on a rate of £14.68/hour PAYE – working 8am-4pm Monday to Friday. This role will be based in Inverness.
Responsibilities:
– Maintain accurate records.
– Assist in preparing and issuing contract documentation, including work orders, variations, and completion certificates.
– Monitor contract timelines and ensure deadlines are tracked and met.
– Input and update data in contract management systems and spreadsheets.
– Maintain digital and physical filing systems for compliance and audit purposes.
– Ensure all contractor submissions (certificates, reports, invoices) are logged and stored correctly.
– Liaise with contractors, tenants, and internal teams to coordinate access and scheduling for inspections and remedial works.
– Respond to queries regarding contract progress, documentation, or compliance issues.
– Draft and send routine correspondence related to contract administration
– Track and log statutory compliance data.
– Flag overdue inspections or non-compliant reports to contract managers.
– Provide clerical support such as photocopying, scanning, and minute-taking at meetings.
– Support the wider Servicing & Contract Administration team with ad hoc tasks.
– Contribute to continuous improvement of administrative processes and systems.
Essential Skills:
– Proficiency in Microsoft Word – for drafting letters, reports, and contract documentation.
– Proficiency in Microsoft Excel – for maintaining spreadsheets, tracking compliance data, and generating reports.
– Ability to work across multiple digital portals and systems – including contractor portals, compliance tracking systems, and internal databases.
– Strong attention to detail – especially when handling compliance documentation and financial records.
– Effective communication skills – both written and verbal, for liaising with contractors, tenants, and internal teams.
– Organisational skills – to manage multiple tasks, deadlines, and contract schedules efficiently.
