Administration Assistant
Contract length: 12 week contract
Pay rate: £15.01/hour PAYE
Location: Glasgow
Venesky-Brown’s client, a public sector organisation in Glasgow, is currently looking to recruit an Administration Assistant for an initial 12 week contract on a rate of £15.01/hour PAYE – working 35 hours per week. This role will be based in Glasgow.
Responsibilities:
– Provide a comprehensive administrative support.
– Act as an initial point of contact for staff across the organisation in relation to administration activity associated with programmes, building collaborative, supportive relationships by providing proactive, accurate and timely advice and high-quality administrative support.
– Provide support for the creation, and timely and accurate maintenance, of relevant records, being cognisant of all related regulations.
– Assist in the co-ordination of, and provide administrative support for, relevant committees, working groups and project teams, including Programme and Progression and Award Boards, as appropriate.
– Manage personal day to day work profile in keeping with service demands, within agreed timescales.
– Develop, maintain and review records, databases and management information systems accurately, producing data reports and highlighting issues in accordance with regulations and procedures and relevant external quality compliance requirements.
– Effectively use organisational systems including our virtual learning environment to support effective administration of programmes and an excellent experience
– Manage relevant communications, e.g. email inboxes, and calendars on behalf of the programme teams, ensuring that a professional, customer-focussed, prompt response is delivered.
– Communicate with internal and external stakeholders within the required timeframes and assist with PVG clearance and other professional body requirements as required.
– Take a proactive approach to continuous improvement, suggesting changes where appropriate to documented processes and templates, that ensure a consistent approach to delivery, compliance with legislation and establish good practice, providing an excellent service delivery for all stakeholders.
– Provide professional administrative advice and guidance in areas of responsibility to staff. Research and resolve problems using knowledge and experience of processes and policies, escalating where necessary.
– Support the work of other members of the Services team, including sharing work during periods of peak workload and staff absence to ensure that full support is available and undertake any tasks required for the efficient administration of programmes across the organisation.
– Ensure that all work carried out within area of responsibility meets the requirements and needs of the institutions Information Governance/Security policies & practices and organisation and local Health and Safety regulations, standards and processes.
– Undertake any other tasks appropriate to the role.
Essential Skills:
– HNC in administration related subject or equivalent relevant experience
– Demonstrable relevant administrative experience
– Proficient in MS Office, in particular Microsoft Word and Excel, as well as database packages
– Excellent customer service skills
– Excellent organisational skills, ability to maintain clear and accurate records and collate and organise data
– Ability to manage and prioritise conflicting workloads
– Excellent communication and interpersonal skills
– Evidence of being able to work flexibly providing support across teams
– Ability to work on own initiative
– Evidence of working collaboratively as part of a team
– Experience of clerking meetings
Desirable Skills:
– Evidence of identifying opportunities for improvement and developing and implementing best practice
– Experience of liaising and working collaboratively with external stakeholders
