Building Services Administration Officer
Venesky-Brown’s client, a public sector organisation in Livingston, is currently looking to recruit a Clerical Assistant for an initial 3 month contract with potential to extend on an hourly rate of £14.27-£14.51 PAYE. This role will be based onsite in Livingston.
To work within Housing, Customer and Building Service as a Clerical Assistant to ensure efficient support in the operation of all administrative processes. Working with the Housing Team /Estates Team and Central Void Team and other services, and agencies where appropriate
Responsibilities:
– Carry out all tasks in line with the organisation’s policies and procedures
– E procurement – order, receive, check and invoice all goods coming into the office
– Using the relevant IT system and data bases collate/distribute and update identified reports that contribute to the service aims and objectives
– Carry out scanning of documentation
– Process request for BAC transfers
– Administer the re-chargeable accounts processes
– Manage and distribute incoming mail
– Manage the office email inbox and co-ordinate officers’ schedules as and when required.
– Ensure customer telephone enquiries are dealt with efficiently and effectively.
– Provide assistance in dealing with elected member enquiries
– Ensure that the office equipment is fully functioning and report any faults to the relevant persons
– Ensure that the office has the necessary stationary and supplies to function efficiently
– Responsible for reporting building repairs to the relevant person and monitoring progress
– Assist with the implementation of the relevant local health & safety requirements.
– Carry out duties in accordance with Health and safety requirements paying particular attention to relevant risk assessments and safe systems of work.
– Support the service in the efficient application of income management through contacting tenants to prompt and promote rent payment and benefit maximisation.
– Undertake any other duties as required by your manager to support the service and its ongoing development.
Essential Skills:
– General standard Grade or equivalent in English. Mathematics and Office Administration
– Flexible and adaptable
– Good communication skills, with the ability to communicate effectively.
– Ability to record and report information accurately and concisely.
– Work effectively under pressure with the ability to prioritise own workload.
– Good knowledge of various IT packages
Desirable Skills:
– Recent experience of working in a complex office or housing environment
