Data Services
We are looking for a Data Services Representative that will provide high level, quality administrative support to enable the delivery of Qualifications Scotland products and services during the upcoming main exam diet for 2026.  Working in a fast-paced service environment the successful candidate will work effectively, keeping data accuracy and stakeholder satisfaction at the core of every decision and behaviour. This role will be due to start on Tuesday 12th May. 

Education & Training
 
  • Good standard of education with strong skills in numeracy and literacy 
Responsibilities 
  • Provide administrative support to ensure activities are carried out accurately and according to plan and to ensure compliance with documented processes 
  • Data entry: create and maintain records, standard reports and spreadsheets to ensure information is up-to-date, easy to access and accurate 
  • Carry out filing of information to ensure it is stored accurately following relevant policies 
  • Provide high levels of customer service in respect to queries ensuring responses are issued promptly, accurately and following SQA guidelines while maintaining key stakeholder relationships 
  • Carry out numerical calculations 
  • Communicate with internal and external customers by phone, in writing (email and standard letters) and face to face where appropriate within tight timescales 
  • Interpret data and identify and raise queries to appropriate person for resolution 
  • Sorting scripts and putting them in order 
  • Maintain a tidy work area and comply with all Health and Safety regulations 
Experience and Knowledge 
  • Good communication, interpersonal and organisational skills 
  • Ability to work with accuracy and with attention to detail in a pressurised environment 
  • Experience of working to tight deadlines 
  • Good knowledge of Excel; including creating & maintaining spreadsheets, analysing data and using formula functions 
  • Excellent customer service skills 
  • Be able to understand written and verbal communications 
  • Good attention to detail 
  • Good, general administrative skills 
  • PC literate with proficient and accurate keyboard skills 
  • Good working knowledge of Microsoft Office & databases in a customer focused organisation 
  • Flexible working approach and ability to work on own as well as part of a team 
  • Ability to multi-task, set priorities and manage time effectively
