Facilities Supervisor
Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit a Facilities Supervisor starting on the 25th of May for a 7 week contract on a rate of £14.30/hour (PAYE).
Responsibilities
– Line Management for up to 6 Facilities staff across both sites ensuring that the different facilities needs are dealt with effectively. Prepare duty rosters in advance to ensure appropriate IS Facilities cover during opening hours allowing for sickness and absence, Adhere to IS HR Policies and Procedures including yearly ADR’s. Organise training for new IS Facilities Staff providing input/feedback on colleagues’ probation etc to BSM.
– Implement the production of a Training Matrix to support all training needs for IS Facilities staff, prioritising as necessary. Training includes Manual Handling, Customer Service Training, Health & Safety Courses, Driver Awareness, Mailing Equipment, Recycling Equipment, maintenance of assets (pallet trucks, trolleys). Communication of key information to the team. Ensure that all IS Facilities have the appropriate staff uniform and PPE requirements.
– Undertake regular ‘tour’ (at least weekly). Supervise security patrols. Liaising with Security Teams following incidents providing support and access to information as required. Other measures such as the identification and reporting of maintenance requirements through EBIS, admitting users, visitors and deliveries. Organise regular headcounts, collection of statistics etc. In the absence of the BSM, ensure that appropriate communication is given to the building occupants in a timely manner with regards to events or incidents that could impact service levels on both sites.
– Oversee the arrangements for incoming and outgoing internal and external mail, including parcels; franking of outgoing post; parcel collection by couriers on both sites and re-crediting of franking machine. Provide support all IS Divisional Teams with the regular movement of high value materials and other items between sites.
– Oversee and ensure the process of deliveries and associated documentation for the Secure Store. Ensure all goods in and out are logged and that this log is kept up to date and correct. At the monitor usage of IS Facilities Stationery and other material requirements and notify IS Facilities Administrator of low stock for re-ordering. Accept and record deliveries of materials, furniture, computers etc.
– First point of contact for escalation to BSM with regards to faults and repairs, accidents, incidents and any building issues. Responsible for master keys, ensuring that the key log is maintained accurately. Support regular compliance activities such as Fire Alarm Testing and Drills. Carry out the completion of Risk Assessments, reviewing as necessary. Ensure that the weekly fire checklists are completed, and any issues escalated to the appropriate BSM.
Essential Skills:
– Good communication skills, both verbally and written.
– Ability to supervise/manage staff effectively to achieve results.
– In depth knowledge of safety and security issues in large buildings; experience in a Library environment is desirable.
– Experience of dealing with the public, preferable in an academic environment.
– Experience of mailroom procedures, operation of franking machine.
– Awareness of book handling issues procedures.
– Good IT skills.
