Project Administrator
Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit a Project Administrator for an initial 5 month contract with potential for a further 3 month extension on a rate of £170-£190/day Inside IR35. This role will be a hybrid working model of working at home and in the office.
Responsibilities:
– Managing initial communications with customers; ensuring requests are logged on various platforms, and working closely with the team to assign and ensure tickets are updated accurately and customers are kept fully informed of progress.
– Supporting the Head of Intelligent Automation in a proactive role to ensure they have everything they need to do their job effectively, including dealing with senior management emails by assigning / prioritising and responding to requests
– Storing and indexing files and emails using records management system. Filing emails and proactively carrying out any administration request emails
– Preparing and distributing papers and reports for meetings or workshops
– Ensuring our divisional staff documents are kept up to date and maintained with rigorous attention to detail, ensuring the most efficient process flows are being utilised for managing information.
– Updating all delivery platforms and artefacts, including RAID logs, Planview, Automation Hub, JIRA, Power BI and Confluence with missing data and making improvements to drive better reporting and pipeline management.
– Assist and lead on directorate commissions as and when required.
– Administering events and showcases and liaising with the communications team to promote the work of the Intelligent Automation Centre of Excellence
– Supporting the team with secretariat support when required (minute taking and helping set agendas for meetings).
– Oversee team booking requests, using corporate systems.
– Provide general administration support to the wider team as and when required.
Essential Skills:
– Excellent administration, digital, and organisational skills with the ability to prioritise and plan workload ensuring deadlines and objectives are met.
– Demonstrate strong verbal and written communication skills with an ability to communicate confidently at all levels, providing information clearly and accurately with tact and influencing.
– Ability to work using your own initiative using excellent judgement and discretion to manage competing demands, seeking support when necessary.
– Proven track record on working effectively and flexibly as part of a team or independently as needed.
– PA or project support experience required
Desirable Skills:
– Experience of working in an agile project and programme environment
– Experience in updating platforms such as intranets, reporting platforms, etc.
– Project management (including risk management) techniques.
– Project reporting using dashboards, status reports, and calculating performance results.
– Experience of working on a service desk responsible for customer contact
