Health and Safety Administrator
Venesky-Brown’s client, a public sector organisation in Inverness, is currently looking to recruit a Health and Safety Administrator for a 6 month contract on a rate of £15.23 per hour. This role will be 35 hours per week, however part time hours will be considered.  
 
Responsibilities  
 
– Maintain compliance trackers and action logs. 
– Chase contractors for outstanding documentation, certificates and reports. 
– Log and distribute statutory inspection reports including:  
– Legionella monitoring reports. 
– Electrical Installation Condition Reports (EICRs). 
– Fire safety inspection reports. 
– Planned Preventative Maintenance (PPM) reports. 
– Monitor deadlines for compliance actions and escalate overdue items. 
– Receive and record contractor documentation. 
– Request RAMS, insurance certificates and competency documentation from contractors. 
– Check documentation is present and complete before forwarding to the appropriate reviewer. 
– Maintain contractor records and compliance files. 
– Coordinate planned maintenance and repairs. 
– Schedule contractor visits. 
– Liaise with office contacts regarding access arrangements. 
– Raise purchase orders and process associated administration where required. 
– Manage shared inboxes and telephone enquiries. 
– Maintain accurate electronic and paper records. 
– Produce status reports on outstanding FM and H&S actions. 
– Prepare information for Health & Safety Committee meetings and management reporting. 
– Support audits by providing documentation and evidence. 
 
Essential Skills: 
 
– Previous administrative experience in facilities management, property management, estates management, health and safety or a similar environment. 
– Experience working within a regulated or compliance-focused environment. 
– Strong organisational and record keeping skills. 
– Experience maintaining compliance databases or action trackers. 
– Experience managing multiple workstreams and priorities. 
– Good communication skills and confidence working with contractors and internal stakeholders. 
– Proficient in Microsoft Office, particularly Excel, Outlook and Teams. 
 
Desirable Skills: 
 
– Knowledge of facilities management processes. 
– Awareness of health and safety legislation and statutory compliance requirements. 
– Experience supporting audits or inspections.
